We are the data controller for this website and our tutoring services.

We explain your rights and how we use personal data below. 

What we collect

  • Parent or carer details, name, contact information, enquiry details.

  • Child’s name, year group, learning needs, lesson notes and targets.

  • Booking and payment information.

  • Website usage data from cookies, if you consent to analytics.  

Why we use data, and lawful bases

  • To reply to enquiries and run lessons, including reports for parents (contract, legitimate interests).

  • To take payment and keep tax records (legal obligation).

  • To send optional updates or marketing, only if you agree (consent, you can withdraw at any time).  

Children’s information

We collect children’s details only to deliver tuition, we work with the parent or carer. We aim to present privacy info clearly and follow the UK Children’s Code where services are likely to be used by under 18s. 

Children’s data

This website is for parents and carers. Only a parent or legal guardian should provide a child’s details. We collect limited information about children so we can deliver tuition, for example first name, year group, learning needs, lesson notes and targets. Our lawful bases include contract or legitimate interests for running lessons and legal obligation for tax and safeguarding records. We use consent for optional activities such as recordings or marketing. If we need information about health or special educational needs, we will ask for explicit consent and only collect what is necessary. We usually collect personal data directly from parents or carers. In some cases we may receive information from schools or other professionals where you have agreed this with us.

We do not seek children’s consent via this website. Children and parents can ask to access, correct or delete data and can object to certain uses.

Safeguarding: where we believe a child may be at risk, we may use and share information with relevant organisations in line with our Safeguarding Policy and legal duties. For safeguarding, our legal bases may include legal obligation and vital interests (protecting someone’s life).

Online lessons and Google tools (Meet and Classroom)

We deliver online lessons using Google Workspace tools, including Gmail, Google Meet and Google Classroom. Access to our Google Workspace tools (including Meet and Classroom) is restricted to authorised staff. Google provides these services as our data processor under our Workspace agreement.

In these tools we may process:

  • Parent and child names.

  • Email addresses used for lesson invitations and access to Classroom.

  • Lesson dates, times and schedules.

  • Lesson content, homework, resources and feedback.

  • Messages or work submitted in Google Classroom.

  • Audio and video from lessons, if you join a Google Meet session.

Recordings

We do not record lessons by default. If we ever wish to record a session, for example so a child can rewatch a lesson, we will:

  • Ask the parent or carer for explicit consent in advance.

  • Explain the purpose of the recording and how long we will keep it.

  • Store any recording in our Google account with access restricted to authorised staff.

You can withdraw consent to recordings at any time. If you do, we will stop future recordings and delete existing ones where we are not required to keep them for legal or safeguarding reasons.

Sharing

We use trusted providers to run this site and our service. These act as processors and only handle data under our instructions. Typical providers may include:

  • Squarespace (website and forms).

  • Google Workspace, including Gmail (email), Google Drive (storage), Google Meet (video lessons), Google Calendar (scheduling) and Google Classroom (online learning platform).

Grow Up Tutoring remains the data controller. These providers act as data processors under our agreements with them. We do not sell personal data.

International transfers

Some providers store data outside the UK. Where that happens, they use approved safeguards, such as Standard Contractual Clauses. See Squarespace’s and Google’s privacy pages for more detail. 

Retention

Enquiry emails, up to 12 months. Lesson records and invoices, up to 6 years for tax. We keep data longer only if required by law or to establish or defend legal claims. 

Your rights

You can request access, correction, deletion, restriction, portability, or objection. Where we rely on consent you can withdraw it at any time. To exercise rights, email us. If you have concerns about how we use personal data, you can contact us in the first instance. You also have the right to complain to the Information Commissioner’s Office (ICO)

Security

We use appropriate technical and organisational measures to protect data. This includes strong passwords, access controls and two factor authentication for key systems. If we suspect a high risk breach affecting you, we will let you know.

Cookies

Cookies are small files saved on your device. We use necessary cookies to run the site, and, if you consent, analytics cookies to understand site traffic. You can change your choice at any time using the banner’s “Manage cookies” option. Under UK rules, non-essential cookies need consent.  

Analytics, Advertising and Performance Tools 

We use a small number of third-party tools to help us understand how visitors use our website and to improve our advertising. These tools collect information using cookies and similar technologies. We will use the following software:

  • Meta Pixel (Facebook + Instagram)

  • Google Analytics

  • Microsoft Clarity / Microsoft Advertising “performance insights”

What data these tools collect

These tools may collect information such as:

  • Pages visited, buttons clicked, forms started and submitted

  • Time spent on pages and how you navigate around the site

  • Your device type, browser, and approximate location (based on IP address)

  • Technical information such as screen size, referring website and load times

Meta and Microsoft may also link your visit to your account on their platforms (for example, if you are logged into Facebook or a Microsoft service) in order to measure and improve the performance of adverts we run on those platforms.

We do not use these tools to collect information like your name, full address, or payment details, and we do not use them to record lesson content.

Legal basis

We rely on your consent to set non-essential cookies and use these analytics and advertising tools. Where required, you will be asked to accept or reject these cookies when you first visit our site, and you can change your preferences at any time.

Where we use these tools in a way that is strictly necessary to provide the website or a service you have requested, we rely on our legitimate interests in operating and improving our website.

How to opt out

You can:

  • Change your cookie preferences using the cookie banner or settings tool on our site (where available).

  • Adjust your browser settings to block or delete cookies.

  • Use platform tools to control advertising, 

If you block or disable some cookies, parts of our website may not function correctly, but you will still be able to access core information.

Changes to this notice

We may update this notice from time to time, for example if we change the tools we use. We will post the latest version on this page.
